Administrative Assistant 

Fixed term contract (CDD) - 12 months

As Administrative Assistant of J.POD Toulouse, you will have a crucial role in supporting the efficient and effective operation of the site. This role involves providing direct administrative assistance to the site leaders as designated. You will be responsible for site-level administrative coordination, executive visits and meetings, travel support, and ensuring the smooth flow of information and activities. You will report to the J.POD Toulouse Site Head and work in coordination with a Leadership Assistant.

Responsibilities :

  • Administrative Support:
    • Provide administrative support for site leaders.
    • Leadership Assitant's back up to prepare and maintain meeting minutes, documents, reports, and correspondence.
    • Organize and prioritize incoming communications, including emails, calls, and mail.

  • Communication:
    • Leadership Assitant's back up to manage and publish a site-level planning calendar of significant events, visits, travel, etc.
    • Leadership Assitant's back up to assist in organizing, editing, and proofreading presentations for leadership meetings.

  • Site Visit and Meeting Coordination:
    • Plan, schedule, and coordinate site visits and meetings for clients, government, and industry officials, as well as senior company leaders. 
    • Coordinate agendas, prepare materials, and make logistical arrangements.

  • Travel Arrangements:
    • Make travel arrangements and prepare expense reports for the Site Head and other designated site leaders.

  • Confidentiality:
    • Handle sensitive information with discretion and maintain confidentiality.

  • Ad Hoc Tasks:
    • Undertake tasks as assigned by the Site Head.

Position Requirements :

  • "Bac" level required; bachelor's degree in business administration or a related field preferred.
  • Proven experience in an administrative or executive support role.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint)
  • Excellent written and verbal communication skills in French and English
  • Ability to multitask, work independently, and prioritize tasks effectively.
  • Strong attention to detail and problem-solving abilities.
  • Discretion and the ability to handle confidential information with integrity.
  • The role requires the ability to adapt to a dynamic environment
